ArkoPDF (“we”, “our”, “us”) makes PDF software for desktop and mobile and provides related cloud, conversion, and AI-assisted services. This Privacy Policy explains what information we collect when you use our websites (including arkopdf.com), desktop and mobile apps, and services, how we use and share it, and the choices you have.
1. Information we collect
We collect information you give us, information we observe as you use our services, and limited information from third parties:
- Account information — the email address and a password (stored in hashed form) you provide when you register, plus the plan, entitlements, and subscription status we issue to that account.
- Billing information — when you buy a subscription or Copilot credit pack, payment is processed for us by our payment processor (Paddle) or by the app store you purchased through. We do not store full card numbers. We record what you purchased, transaction identifiers, and your billing email where needed for receipts.
- Content you process — files such as PDFs you upload for conversion, full-document translation, cloud storage, or AI features. We process this content only to provide the feature you requested.
- AI prompts and outputs — the text and instructions you send to Copilot, summaries, mind maps, or translation, and the responses we return.
- Usage and diagnostics — pages and features you use, app and OS versions, device type, crash reports, and approximate location derived from your IP address.
- Cookies and similar technologies — as described in our Cookie Policy.
2. How we use information
- To provide and operate the service — accounts, sign-in, entitlements, downloads, cloud storage, and support.
- To process what you ask us to process — converting, translating, or summarizing a document, and storing its output for you to retrieve.
- To manage billing — processing payments and refunds, managing subscriptions and credit packs, and preventing fraud.
- To improve the product — analytics, feature measurement, and fixing crashes or errors.
- For support, safety, and compliance — responding to your requests, enforcing our Terms, preventing abuse, and meeting legal obligations.
- For marketing — only where you have opted in.
3. AI features and your data
When you use Copilot, summaries, mind maps, or full-document translation, the relevant text of your document (or your prompt) is sent to a third-party large-language-model provider so that it can generate a response. With bring-your-own-key, you connect your own model-provider account and prompts then go to that provider under that provider’s terms, using your key. We do not use your documents or prompts to train our models.
4. How we share information
- Service providers — payment processing (Paddle), cloud hosting and object storage, the AI model provider, and email or analytics providers. They receive only the information needed to perform their role and are instructed to process it on our behalf.
- Legal and safety — where required by law, to protect our or others’ rights and safety, or to enforce our Terms.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy continuing to apply.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
5. Legal bases and international transfers
For users in the EEA, UK, or Switzerland, we rely on the legal bases of performance of a contract (to provide the service you asked for), legitimate interests (to operate, secure, and improve our service), consent (where we ask for it), and compliance with legal obligations. We may transfer data to service providers located outside your region; when we do, we rely on recognized safeguards such as the EU Standard Contractual Clauses.
6. Security and retention
We protect data with encryption in transit (TLS) and at rest, hashed passwords, and access controls. No method of transmission or storage is completely secure. We keep account data while your account is active and for a reasonable period afterwards to meet legal or record-keeping obligations. Files you upload are deleted after the task completes or according to your cloud-storage retention; deleting your account removes or schedules removal of the associated data.
7. Your rights
Depending on where you live (for example the EEA/UK under the GDPR, Brazil under the LGPD, or California under the CCPA/CPRA), you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, to withdraw consent at any time, and to opt out of “sales” or “sharing” of personal information. To exercise a right, contact us at support@arkopdf.com. We respond within the timeframe the law requires (usually 30 days).
8. Children
Our services are not directed to children under the age of 16 (or the applicable minimum in your region). If we learn that we have collected personal information from a child, we will delete it.
9. Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will post the revised Policy on this page and, where appropriate, notify you by email or in the app.
